Invoice Details
The Invoice Detail View provides a comprehensive look at a specific invoice, including vendor details, billing information, approval progress, invoice summary, and detailed line items. It also displays the original invoice file for side-by-side comparison and validation, ensuring all data is accurate and compliant before final approval.
- Navigate to the Invoices section.
- Click on any Invoice from the list to open its detail view.
- The detail page opens with multiple tabs and a preview of the uploaded invoice file.
Invoice Header
The top section of the page provides a quick snapshot of the invoice:
- Invoice Number & Title: Displays the system-generated invoice ID along with the invoice title.
- Status: Current workflow status of the invoice
- Invoice Date: The date on which the vendor issued the invoice.
- Received Date: The date the system or administrator received the invoice.
- Action Buttons: Approve, Reject, Forward, and Edit options allow reviewers to take direct actions on the invoice.
Invoice Information & Editable Fields
Below the header, the invoice metadata is displayed:
- Vendor: Vendor or law firm who submitted the invoice.
- Practice Areas: Legal practice categories the invoice relates to.
- Matter: Specific matter or case associated with the invoice.
- Billing Period: The date range for which services were billed.
- Cost Centers: Financial cost allocation codes.
- Entities: The corporate entity linked to the matter.
Note: If any of these fields (Matter, Entities, Cost Centers, or Practice Areas) need correction or updates, an edit button is available next to each field, allowing authorized users to directly modify details without leaving the invoice view.
Invoice Tracker (Workflow Stages)
The tracker at the top of the page visually represents the invoice’s lifecycle from upload to payment. Each stage ensures accountability and transparency.
Invoice Summary
The summary section gives a financial snapshot of the invoice:
- Hourly Fees: Total charges based on billed hours.
- Flat Fees: Fixed charges applied for services.
- Expenses: Additional costs such as travel or court fees.
- Tax: Applicable tax amounts.
- Discount: Any deductions applied.
- Adjustment: Manual or automated changes made by reviewers.
- Total: The final payable value after applying all calculations.
This section helps reviewers validate totals without checking each line item individually.
Invoice File Preview
On the right-hand side, the original invoice PDF is displayed.
- This allows reviewers to cross-check extracted system data with the source document.
- Ensures accuracy and prevents discrepancies between the uploaded invoice and what is stored in the system.
